Details: The primary purpose and function of the Associate Specialist, IT Budget/Assets is to work closely with technology management and business areas to align operations and project budgets, track and report expenditures, support IT procurement activities, and administer resource allocation and reporting. In addition, this position will be responsible for completing and validating monthly telecom invoices. Live and exemplify the Five Principles of Mars, Inc. within self and team. Partner with Information Technology Management and Commercial to ensure continued, optimal execution of a defined IT procurement strategy including, but not limited to, the creation and submission of requisitions on behalf of the TSS team. Work with business areas and IT management team to assist in the creation, implementation and administration of processes and procedures applicable to the budget, expenditure, and procurement activities within the IT department. Track and monitor procurement and contract activities, including initial hardware and software purchases, ensuring annual maintenance renewals are verified, completed, and documented. Engage with Accounts Payable and outside vendors to resolve invoice disputes. Analyze expenses, validatingand communicating variances to department managers and corporate finance. Work with Project Directors and Business Owners to forecast initiative expense for the annual budget process. Track, document, and maintain software licensing, related media and maintenance/ support agreements, contract, and purchase documents in hard copy and soft copy files within document management system. Complete capital expenditure forms, ensuring documentation is maintained and budgetary impact is analyzed and recorded. Assist IT management in the development and maintenance of an IT investment planning and management process, integrating project and budget lifecycles consistent with annual budget requests, reviews, and submissions. Compile and maintain information which documents the quantity and type of equipment, merchandise, and/or supplies stocked in IT storage area including new, loaner, and returned equipment.Other job duties as assigned.
